How to choose takeoff software

Markup desk, measure desk, estimating, or a bid board. Pick the job before the product. A precon team already prices in a workbook. You still price.

People ask “what takeoff software do you use?” as if there is a single winner.

There isn’t. There are four jobs, and most mismatched purchases come from buying the wrong one because the homepage said “estimating” when the screenshots were polylines.

Walk the jobs. Then pick a tool. Skip the ranked 2026 list.

The four jobs

1. Markup OS. PDF markup, measure, Tool Chest, a list of every annotation, maybe Studio for the rest of the office. Bluebeam Revu is the default in US threads. “Bluebeam and Excel” is a complete sentence. Takeoff is more work here than in a dedicated tape. Markup was the job they sold.

2. Dedicated tape. Click lengths, counts, and areas into conditions or assemblies, dump quantities, leave. PlanSwift and On-Screen Takeoff spent twenty years here. Cheap desktop tapes (Mint-class) and cheap cloud tapes (zzTakeoff-class) live here too. You still price somewhere else.

3. Estimating. Labor, material, margin, quote PDF, maybe a cost library. Quotesoft, BidBow, HeavyBid-class, Countfire Estimate. Polylines on a marketing page don’t make it a tape. If you needed a rate card and bought a fancy scale ruler, that’s this miss. Takeoff vs estimating.

4. Bid board. ITBs, bid calendars, finding the set. PlanHub, BuildingConnected, ConstructConnect Bid Center. Useful. Not takeoff. Estimators criticize PlanHub for spam and locked files, not because the measure tools are bad, because they wanted a tape and got a marketplace.

If a vendor blurs 2 and 3 (“takeoff and estimating”) read the export. If dollars leave the building, it’s estimating. If you still open Excel to put a price on it, it’s a tape with a loud homepage.

A boring decision tree

You already live in Revu and the bid sheet is Excel. Keep Bluebeam. The pain is usually the retype (Markups List totals into the workbook) not the markup. CSV or Quantity Link before you shop a platform.

You needed typical groups, repeating floors, or a condition library you spent a decade building. That’s why people stay on On-Screen Takeoff after the UI looks dated. Cloud tapes often lose that fight. Switch when the desktop is actually failing you, not because a demo looked faster (leaving PlanSwift / OST).

The other office needs the same sheet, Windows is a fight, or you will not pay a few thousand a year for seats you do not use. A measure desk that stops at the qty sheet is the job. A measure desk, not another platform. STACK-class platforms are built for offices that want one login across trades, cost data, and field. Buy that if you want to replace the estimating system.

You wanted the computer to take it off. Read whether AI takeoff actually works before you pay for a first pass you’ll reclean. In software-choice threads, shops often wanted web + shared viewing more than they wanted the model. Some switched despite the AI.

You wanted the GC’s invitation to bid. That’s job 4. Separate login. Keep it off the tape budget.

Where length comes from. Calibrate on the page, or you’re measuring in the wrong universe. Scale. Tools that “find” scale on a demo PDF still fail on a scan.

What leaves the building. Item, qty, unit, page, note. A total with no page ref is hard to defend. CSV you drop into the workbook you already have beats a branded quote PDF you can’t rebuild.

Assemblies vs a package. Empty catalogs are a second job: you will rebuild your types. Typical groups are a third job. We do not have PlanSwift’s assembly depth. Stairs and rails are how we show a qty package (guard vs grippable handrail, posts EA, flights, page refs), not because the desk is metals-only. What that package looks like.

Collab. Shared takeoff viewing is the efficiency people actually name: a shared Project on one desk, not a Session product, not emailing a PDF around. Working together: anyone with permission is in at the same time; Edit measures at the same time. Who can open it is Organization inherit plus named people and Teams. No install: Browser desk. The same Project in the browser or a Mac/Windows app, even offline after you open the sheet: cloud sync. If two people need the same sheet at 4pm, desktop files on a USB stick is the old cost.

OS. Revu 21 has no Mac client. PlanSwift and OST are Windows. Browser desk: Chrome on a Mac is a first-class desk for us. Same product as the installed app, not a thinner Cloud SKU. Native-App-Store tapes exist if you want offline-only and a low monthly price. “Runs on a Mac” is not the same as “is Revu.”

Seat math. Count who measures, not who might someday. Platform invoices in the STACK neighborhood are a few thousand per user per year because the product is a platform. Desktop tapes went perpetual → subscription and shops noticed. Cheap cloud tapes exist. Price is not quality; it is which job you bought.

What a bake-off is not for

A 12-logo grid with stars. Directory scores and Reddit likes are different sports (Bluebeam wins “what we actually use”; some AI tools win G2). If every other comment is a fresh account, treat those comments as ads.

Feature-parity with the tape you’re leaving. You will not get typical groups, Quantity Link, and a $15 seat in one box. Decide which pain is the afternoon.

Electrical symbol-count AI, landscape CV, or “best AI takeoff 2026.” Wrong trade, wrong drawing class, or both.

Where we sit, without a comparison table

Forward Layout is job 2 on purpose: calibrate, you measure Length / Polylength / Count / Area, name the Subject, CSV with page refs, you still price. You stay the expert. Stairs and rails are one package we show. If the template needs a step the desk does not have, we change the software to fit it. Keep Bluebeam for markup if that’s the desk. If you needed a pricing engine, this is the wrong job.

If the question was really “what do people use?” Then Bluebeam and Excel. If the question was “what’s the drag?” Then the retype, the Windows install, the platform invoice, or a first pass you don’t trust. Those are different pages. Start with the job. Sharing the set without a Session product: Working together. Who can View without a tape seat: who can open a Project. No install: Browser desk. Browser, Mac, Windows, offline after a visit: cloud sync. The noun map: how work is organized.

Straight answers

What takeoff software do most estimators use?
On US forums the unprompted default is still Bluebeam plus Excel. Dedicated tapes (PlanSwift, On-Screen Takeoff) have long-time users. Cloud tapes and AI tools show up in bake-offs. There is no honest ‘best 2026’ list. Pick the job first.
Is PlanHub takeoff software?
No. PlanHub is a bid network. It helps you find the PDF. Measuring the sheet is a different product. BuildingConnected is the same job family. An ITB seat does not measure the sheet.
Do I need STACK or a general construction platform?
Only if you want that platform’s estimating, assemblies, and field handoff. A precon team that already measures on the page and prices in a workbook is paying platform money for a measure desk.
What about Mac?
Revu 21 and the old desktop tapes are Windows. Budget desktop tapes exist for Mac. A browser desk runs in Chrome on a Mac. Same product as the Mac or Windows app. A platform seat is not required just to leave Windows.
Should I switch because of AI takeoff?
Not by default. Some shops switched to a web tape and kept using it despite the AI. Clean architectural floors are where computer vision helps. Scanned public bids and shop elevations are where it wastes the afternoon. Measure first; treat AI as a junior who still needs a check.
