Delete and restore archived work

Delete a Document, Project, or Organization and it leaves the live lists for everyone. Trash holds it 30 days. Restore brings the same markups back.

If you no longer need a Document, Project, or Organization, move it to Trash. That removes it from Recents and the live lists for everyone who could open it, not only for you.

Trash holds it for 30 days. Restore puts it back: same PDFs, same markups. Access lists are unchanged. You don’t re-upload the set.

Use this when a bid is lost, you deleted the wrong sheet, or the last remaining member needs the company account off the list.

Who can delete and restore

What Who can delete Who can restore
Document Full control on the Project Full control, and the Project and Organization are still live
Project Full control, and the Organization still has another live Project Full control, and the Organization is still live
Organization The last remaining member, who must be an org admin That org admin

You don’t have to be the person who created it. Another Full control can delete or restore a Document or Project. Org archive is only the last remaining member.

View, Comment, and Edit can see a Trash row they already had access to. Restore stays off until someone with Full control (or that last-member admin) clicks it. Guests follow the Project they were granted. They don’t get a shop-wide Trash.

Sidebar → Trash is one list for this login: every Organization, Project, and Document you can already see. Signed-in dashboard only: browser or the Mac / Windows app.

Delete vs kicking someone

Delete and Archive remove the takeoff for all collaborators.

If you only want one person off the bid, revoke them in Share. They lose the Project. Everyone else keeps it.

If you only want it off your Recents, don’t delete it. Recents is what you opened on this device. The Project stays live for the shop.

Delete a Document

From Recents or Project → Documents:

  1. Open the overflow on that Document.
  2. Choose Delete.
  3. Confirm (Delete document?). You do not type the name.

That still archives. It lands in Trash for 30 days. You can’t open the desk URL while it’s there. That looks like a miss (404). Restore, then open it from Recents or Documents.

Documents on the desk does not have Delete. Use Recents or Project → Documents.

Delete a Project

You don’t delete a Project from the Projects tile list, and Recents has no Delete on a Project tile.

  1. Open the Project → Settings.
  2. Archive this project.
  3. Type the Project name to confirm.

Live Documents hide with it. They are not extra Trash rows. Restore the Project and those files come back.

Delete an Organization

The Archive organization card is on Organization → Settings only when you are the last remaining member and an org admin. If anyone else is still in the directory, that card is not there. You cannot leave as the last member. This is how you take the company account off the list.

  1. Open the Organization → Settings.
  2. Archive organization.
  3. Type the Organization name to confirm.

Live Projects and Documents hide with it. Trash shows the Organization only.

What’s in Trash

Sidebar → Trash. Name, Type, Location, when it was archived, Restore. Newest first.

Location on a Document is the Project and Organization. On a Project it is the Organization.

You can’t open a row from Trash. Restore it first, then open it from Projects, Documents, or Recents.

Trash is not a second live cabinet. Don’t park an active bid there.

Restore

  1. Sidebar → Trash.
  2. Find the row.
  3. Click Restore.
  4. Open it again from Projects, Documents, or Recents.

Restore clears the archive on that row only. PDFs and markups stay. Share is not rebuilt. Whoever can open it now can open it after Restore.

Verify: the Project is back on Projects. Open the PDF. A known Length still reads.

Parent has to still be live

Trash does not list a Document while its Project or Organization is archived. It does not list a Project while its Organization is archived. Restore the parent. Live children come back with it.

If you archived Mercy Hospital as a Project, S-201.pdf is not a separate Trash row. Restore the Project. The live sheets come back with it.

A Document that was deleted on its own stays archived. Restore the Project and that PDF returns to Trash (if it is still inside 30 days from its delete). Restore the Document next. Same idea for a Project you archived on its own, then restored the Organization.

30 days

Trash lists items archived in the last 30 days. After that the row leaves Trash and Restore no longer works.

The clock starts when that row was archived. A Project archived today holds its hidden Documents for those 30 days with it. A Document you deleted on its own 30 days ago can’t be restored even if you restore its Project later.

There is no Permanently delete button in Trash.

If you can’t find it, or Restore is off

What you see What to do
Trash is empty, but the Project is missing from Projects You may not have access, it is older than 30 days, or someone archived the Organization. Restore that first.
The Project is still live. Create another Project, or archive the Organization if you are the last remaining member.
Restore is visible but disabled You lack Full control, or you are not the org admin on that archived Organization. Ask whoever runs that Project or Organization.
Desk URL 404 after delete Expected. Restore from Trash, then open it from Projects or Recents.
I need a file after 30 days It has left Trash. Restore no longer works.

Evaluating this

A shop with two Projects archives a lost bid from Project Settings and forgets the PDFs. A shop with one Project cannot archive that Project. The last remaining member archives the Organization instead. A GC archives a Restricted Project the same way: the drawings hide with it, and guests stop opening the desk.

The measuring loop is still how it works. That’s takeoff, not a priced bid: takeoff vs estimating. Next: Documents, Projects, Organizations, who can open a Project.

Straight answers

Does Delete remove the takeoff only for me?
No. Delete and Archive remove it for everyone who could open it, including guests. If you only want it off your Recents, leave it live. If you only want one person gone, revoke them in Share. Don’t put an active bid in Trash.
Where did my Project go after I archived it?
It left Projects and Recents. Open Trash in the sidebar. Restore it there for 30 days. Live Documents hid with the Project. You don’t restore each PDF by hand. If archive failed with “An organization must keep at least one project,” that Project is still live.
Why is Restore grayed out?
Restore needs Full control on a Document or Project, and org admin on an Organization. View, Comment, and Edit can still see the row. Ask someone with Full control.
I can’t find a file in Trash. Where is it?
Trash only lists what you can already open, archived in the last 30 days. A Document does not appear as its own row while its Project or Organization is archived. Restore the parent. After 30 days the row leaves Trash and you cannot restore it.
What does Restore keep?
The same PDFs and markups. Archive does not revoke people or rebuild Share. Restore does not re-invite anyone. Restore the Project and live Documents come back with it. A Document that was deleted on its own stays in Trash until you restore that row too.
What happens after 30 days?
The row leaves Trash. Restore no longer works. There is no Permanently delete button. Restore sooner if the bid might come back.
Why can’t I archive my only Project?
An Organization must keep at least one live Project. Create another Project first, or, if you are the last remaining member, archive the Organization from Settings instead.
