Who belongs to the Organization
Invite by email. They sign in as themselves. Organization Members is the company directory: admin or member. Guests belong on a Project, not in payroll.
Organization → Members is the company directory: who belongs to Acme Railings. It is not who can open a given bid. That list is Project collaborators. Mixing those is how a guest ends up in payroll, or a shop estimator never sees the hospital set.
Everyone signs in as themselves. You invite by email. You do not create their login.
Where this lives
Organizations → that org → Members is the company roster: invite by email, admin vs member, pending invites.
Organization members
Roles are admin or member: what an Organization is. This list is not who can open the takeoff. It’s who may run the company account, create Projects, and inherit access when the org’s Project access says so.
You cannot remove the last member. You cannot remove or demote the last admin. You cannot change your own admin role. Once two people can run the company account, keep two admins.
Invite someone to the Organization
- Open Organizations → that org → Members.
- Enter their email. Pick Member or Admin (only admins can invite an admin).
- Send invite. They get a link. The invite is bound to that address.
- They sign in with that email and accept. Until then, the row sits under pending invites.
Pending invites last seven days. Revoke any time before they accept. After it expires, send a new invite.
If they already have a Forward Layout login, the invite still goes to that email. After they sign in, Recents shows Accept invite. If they are new, the link is how they join. You still do not mint the account for them.
Remove someone, or leave
Remove on a member row takes them out of the company directory.
They lose:
- org membership (admin or member)
- Teams in this Organization
- inherit from Project access
- individual grants on this org’s Projects
They keep their login. Other Organizations they belong to stay. Markups they already drew stay on the sheet. Author is history, not a lock.
If they are the last Full control on a Project in this org, promote someone else on that Project first. A Project must keep at least one person with Full control.
To leave yourself, Remove on your own row. You cannot leave as the last remaining member. Archive the Organization instead. You cannot leave as the last admin while other people remain. Promote someone else first.
Kicking one person is not the same as deleting a Project. Revoke them as a collaborator or Remove from the org. Don’t put an active bid in Trash to get one person off it.
Guests stay off this list
Do not invite a client into the Organization just to show them one set. Under All members can edit, that is Edit on every Project. Share the Project as a guest instead. Two setups (they come onto your Project, or you join theirs): Working together.
Evaluating this
| Shop | GC / large office |
|---|---|
| Never open Members until the second hire. | Org Members is employees. Project Collaborators is the bid. |
| Two people in the LLC: org member, keep All members can edit. Keep two admins. | Restricted org. Guests for subs. Teams for repeating casts. |
| First outside estimator: Project invite. Guest, not payroll. | Org admin is not silently on every Restricted Project. |
SSO/SCIM would provision this directory later. Today it’s invite-by-email.
The measuring loop is still how it works. That’s takeoff, not a priced bid: takeoff vs estimating. Next: Project collaborators, then Teams so you stop granting forty emails by hand, then who can open a Project. Archived work: delete and restore.
Straight answers
- If I invite someone to the Organization, can they open every Project?
- Only if Project access is All members can edit Projects, the shop default. Under Restricted, org membership is not a backstage pass. You still grant the Project. Accepting an org invite does not seed every live Project.
- Can I create an account for someone on my crew?
- No. Invite by email. They click the link and sign in with that address. You pick admin or member. You do not mint their login.
- How long is an org invite good?
- Seven days. Pending invites sit on Organization → Members until they accept or you Revoke. After it expires, send a new invite to the same email.
- What happens when I remove someone from the Organization?
- They leave the company directory. They lose Teams in that org, inherit, and individual grants on that org’s Projects. Their login still works. Other Organizations they belong to stay. If they are the last Full control on a Project, promote someone else first.
- Can I leave an Organization myself?
- Yes, if you are not the last remaining member. On Organization → Members, Remove on your own row. The last member archives the Organization instead. The last admin cannot leave while other people remain. Promote someone else first.
- What’s the difference between org Admin and Project Full control?
- Admin runs the company account (members, Teams, Project access default). Full control runs that Project (share, archive). An org admin is not silently Full control on Restricted Projects.
- Who can invite who to the Organization?
- Org admins invite admins or members. Org members invite members only. To share one bid without payroll, use Project collaborators instead.
