# Why a commercial takeoff waits on one person

The bid waits on the person who can read the set. Share the Project, keep the page on every row, and leave the judgment with them. You still price.

On a commercial bid, throughput is not how many people can type a price.

It is the person who can read the set and not miss the scope that only shows up on one enlarged plan. When that person is in a meeting, in another office, or buried in a hospital set, the number waits. The other office is looking at an emailed PDF that is already old.

That is scheduling. It is not a character flaw.

## Where the hours actually go

Your quantity was fine. It landed after someone else set the anchor.

Or everything waited on one estimator while a second office could have taken the doors.

Or the number went out on a guessed length, and the field found the returns.

None of that is solved by a second estimating system. It is scarce judgment sitting under a retype, and under a file that only one machine has.

A scattered package makes it worse. Misc metals is one example: guardrail is not handrail, the landing rail is on a sheet you opened once, and “typical” is sometimes fiction. Concrete, studs, and doors have their own versions of the same hunt. You need someone who can leave a note a superintendent can defend. You do not scale that by hiring three people who only click PDFs.

## What teams try

Late nights. They work until they do not.

A markup desk the office already knows. Powerful, and still generic. The familiar cost is Markups List totals typed into the workbook by hand.

Outsourcing. A useful valve. Also a turnaround, an addendum that becomes a second job, and time spent teaching your breakouts. The judgment is still yours when the file comes back.

Hiring. Often right over a year. Useless as a same-week fix. Seniors still review until trust exists.

A model that looks finished. On a clean floor, sometimes. On a scanned bid set, units flip and counts will not commit. Then a skilled person verifies anyway, and without page refs you invented takeoff with extra steps. [When that pass is real](/resources/ai-takeoff).

## What gives the time back

Shorten the PDF into quantities you can defend. Keep the page and the assumptions. Leave pricing in the workbook. Fail loud when the scale is unclear ([calibrate first](/resources/scale-calibration)). The retyping does not have to stay.

Put the set on one Project. Anyone with Edit can measure while you do. The Markups List is the same list. You are not merging two markup files before the pricing meeting. [Working together](/guides/working-together-collaboration).

You stay the expert. The software does not decide the scope. It keeps the scale honest, the names you typed, and a CSV the other office can open against the sheet.

Before you buy anything, the boring levers still move the week: a one-page scope note before you measure, a page checklist ([measuring the set](/resources/measuring-a-commercial-set)), a frozen takeoff so a price delta has a quantity story, and a junior/senior split where juniors gather sheets and seniors own the conflicts.

If the desk is stuck on labor rates and “what did the last job cost,” that is estimating. Different problem. [Takeoff vs estimating](/resources/takeoff-vs-estimating).

## Fit the desk to the breakout you already use

Type the Subject the way the estimate already says it, so a new person is not inventing a second name for the same quantity. Save that tool on this desk. If the template needs a step the desk does not have, we change the software so that step is on the desk. You do not rebuild the estimate around a fixed list. [A measure desk, not another platform](/resources/takeoff-without-a-platform).

Speed without a trail is how you email a number you cannot rebuild. Make the counting faster. Keep the judgment. The other office should be able to point at the sheet.

Company standards and the codes you already check: [references](/resources/takeoff-references). Still in Revu and retyping: [Bluebeam to Excel](/resources/bluebeam-to-excel). No install for the other office: [Browser desk](/guides/browser-desk-app). Same Project on two machines: [cloud sync](/guides/project-cloud-sync).

## FAQ

### Is outsourcing takeoff a bad idea?

No. It is a valve when the desk is underwater. The tradeoffs are turnaround, revision lag, and teaching an outside team how you break out the scope.

### Will software replace the estimator?

No. Judgment on an incomplete set, conflicting details, and what you will actually build stays with you. A good tool shortens the counting. It does not make the judgment optional.

### What is the fastest lever if we cannot hire this quarter?

Use the names your estimate already has, stop retyping the Markups List, and put the other office on the same Project so you are not merging two PDFs the night the number is due.
