# Get Bluebeam takeoff into Excel

CSV Summary vs Quantity Link: how to get Bluebeam markups into Excel, which Revu plan you need, and why page refs beat retyping the Markups List.

Bluebeam is a solid markup desk.

On US estimator threads it’s still the default: **Bluebeam and Excel**. HVAC, GCs, rebar, electrical: people name Revu unprompted. The afternoon that hurts is not “I have no way to draw a length.” It’s calibrate, mark the run, then **retype the Markups List into the bid workbook** before anyone loads a rate.

Three honest ways out of that loop. None of them require deleting Revu.

## 1. Retype (or copy-paste the list)

Everyone does this once. Some shops still do it on purpose: volume is low, the list is short, Friday is quiet.

It’s also how page refs die. You copy a total, paste a number, lose “A5.2 / Stair A / wall side only.” Addendum 2 lands and nobody can rebuild the delta.

If that’s the desk, stop shopping. If that’s the *pain*, keep reading.

## 2. CSV Summary (Core, Complete, Max)

This is the path most shops actually use if they aren’t on Complete. Bluebeam’s own takeoff courses walk it: the [Markups List](https://support.bluebeam.com/revu/how-to/track-and-manage-markups-using-markups-list.html) is the quantity table; [Summary](https://support.bluebeam.com/user-manual/menus/batch/summary.html) dumps it.

**Before you export**

1. [Calibrate](/resources/scale-calibration) on a dimension you trust. Two decimal places of uncalibrated LF can look precise and still be wrong.
2. Measure with the right tool. **Basics** is Length and Area only. **Count** and **Polylength** need Core or higher. If Count is grayed, you’re not on the takeoff seat. [Bluebeam’s feature matrix](https://support.bluebeam.com/revu/subscription/subscription-features.html) is the SoT, not a reseller blog.
3. Name the **Subject** like a cost code, not like a doodle. `Guardrail`, `Handrail`, `Post`, not `Line 14`. Subject is what you group on later.
4. Open the Markups List (`Alt+L`, or Window → Panels → Markups). Turn on columns you actually want in Excel: Subject, Label, Page Label, Length, Area, Count. Hide the noise (author, date) unless you need an audit trail.

**Export**

1. In the Markups List toolbar, click **Summary** → **CSV**. (Batch → Summary also works; it defaults to CSV.)
2. **Columns.** Uncheck everything, then check Subject, Label, Page, and the quantity columns you measured. Instructors will tell you the order you click options in this dialog matters. If filters vanish, start left and work right.
3. **Filter and Sort.** Don’t export clouds and punch items into the bid sheet. Filter to the measurement Subjects. Sort by Subject, then Label.
4. **Output.** Markups **and** totals. Column headers on. Pick a filename you can find next to the PDF.
5. Open the CSV in Excel. `SUMIF` or a pivot by Subject. That’s your qty tab. **You still type the rates.**

CSV is a snapshot. Stretch a polyline tomorrow and last week’s file does not update. That’s useful when you freeze a takeoff revision. Re-export if you keep measuring.

Google Sheets and Numbers open CSV fine. Quantity Link does not live there.

## 3. Quantity Link (Complete or Max, Windows Excel)

[Quantity Link](https://support.bluebeam.com/revu/how-to/enable-quantity-link.html) puts a **live total** in a cell. Stretch the area, the cell moves. Resume Count from 30 to 35, Excel follows. Bluebeam University’s [how-to](https://university.bluebeam.com/how-to-quantity-link) is the official walkthrough.

It is not Core. It is not [Mac](/download). It is not Google Sheets.

**Enable once**

1. Close Excel.
2. Windows Start → **Bluebeam Administrator** → Run as administrator.
3. Plugins tab → **Microsoft Excel - Quantity Link - Revu 21** (or 20). OK.

**Create a link**

1. Open the estimating workbook you already use. Leave quantity cells empty on purpose.
2. Right-click a quantity cell → Quantity Link → **Create**.
3. Add the PDF (the one that’s open in Revu).
4. Pick the total type (length, area, count, volume) and filter, usually **Subject** (`Carpet`, `Guardrail`, `W14×22`). Custom Markups List columns can be filters too; [Bluebeam’s custom-filter note](https://support.bluebeam.com/revu/how-to/tips-and-tricks/improve-takeoffs-with-quantity-link.html) is the recipe (save the PDF after you add the column).

**The catches people hit**

- **Live geometry, sticky filters.** Stretch the markup and the number updates. Change a Subject so it no longer matches the filter and the filter does **not** rewrite itself. Manage the link when the breakout changes.
- **Room / phase / page splits.** Quantity Link is great at “all lengths with Subject Guardrail.” It gets clumsy when you need the same Subject sliced by space, floor, or sheet. Power users dump CSV and finish in Power Query for that. Use CSV when you need that split; the plugin is not a data model.
- **Plugin weather.** Excel version, 32/64-bit, Administrator not run as admin, Excel left open during enable. The cell goes dead, and the estimator is left explaining a blank qty. Friday export-CSV is the backup for a reason.
- **Edition.** Revu 20 needed **eXtreme**. Revu 21 needs **Complete** or **Max**. Max’s Claude/MCP path is review, not a replacement for this workflow. [that’s a different article](/resources/ai-takeoff).

If Quantity Link is working and the workbook is yours, keep it.

## What the Excel file actually needs

A usable qty tab looks like this (toy numbers, on purpose):

| Item | Qty | Unit | Page | Note |
|------|-----|------|------|------|
| Guardrail | 86 | LF | 12 | Stair A, landings both sides |
| Handrail | 42 | LF | 12 | Wall side only |
| Post | 18 | EA | 12 | ~5′-0″ o.c., confirm |
| Stair flight | 2 | EA | 8 | North egress |

That’s [takeoff, not the selling price](/resources/takeoff-vs-estimating). No dollar column required. Notes a teammate can defend are required.

Bluebeam will store `handrail` as a Subject. It will not know a handrail from a guard. You bring that vocabulary. [Stair and railing quantities](/resources/measuring-a-commercial-set) is the craft. The export is just the pipe.

`Rail: 120 LF` with no breakout and no page is still hard to defend. CSV or Quantity Link will faithfully export it.

## When the retype is the product

Keep Revu. Use CSV or Quantity Link. Done.

Shop a takeoff desk when the Markups List is not the quantity sheet you bid from. You want item, unit, page, and notes out in one CSV without fighting columns and plugins every addendum. [How that loop runs here](/how-it-works): you still click the members. We keep scale honest and the export boring. No public list price.

</figure>

A precon team does not need a second estimating platform to finish this job. [A measure desk](/resources/takeoff-without-a-platform). You name the Subject to match the estimate. If the template needs a column the desk does not have, we change the software to fit it. Two people on the same PDF without emailing a file: [Working together](/guides/working-together-collaboration). No install: [Browser desk](/guides/browser-desk-app). Same Project on a [Mac](/download) without a Windows VM: [cloud sync](/guides/project-cloud-sync).

The Markups List is a great list of markups. The bid workbook still wants a qty tab with page refs. CSV or Quantity Link gets you there without retyping Length totals by hand.

## FAQ

### Can I export Bluebeam markups to Excel on Basics?

The Markups List exists on every plan. CSV and XML summaries are Core, Complete, and Max. Basics can export a PDF summary only. Count and Polylength are also Core+. Basics is Length and Area.

### Is Quantity Link the same as a CSV?

No. A CSV is a snapshot you open in Excel or Sheets. Quantity Link is a Windows Excel plugin (Complete or Max) that keeps selected cells live as you change measurements on the PDF. Filters do not rewrite themselves when you rename a Subject. You edit those in Manage.

### Do I have to drop Bluebeam to get a qty sheet?

No. Keep Revu for markup. The drag is turning those markups into a workbook with page refs before you price. CSV, Quantity Link, or a takeoff desk that exports CSV are three ways to stop retyping. None of them require deleting Revu.

### Does Quantity Link work on a Mac or in Google Sheets?

Quantity Link is a Microsoft Excel plugin enabled in Bluebeam Administrator on Windows. Revu 21 has no Mac client. A CSV opens in Excel, Sheets, or Numbers. Live cells are the Windows Complete/Max path.

### Why isn’t the Markups List enough?

It’s a great list of markups. A bid workbook wants items, units, page refs, and notes a PM can defend: guardrail separate from handrail, posts as counts. Totals with no page are how you lose the addendum argument.
